PDF orders into an ERP: validate fields before enabling writes

Scope one document type, define exception handling and human approval, then prepare a trial you can check.

Original guidance and working materials. Validate against your business; these are not measured project results or delivery commitments.

Choose one document type

Start with a clearly defined source, layout and business rule set. Record who reads the document, where the information goes and what can go wrong. The first trial can produce a review queue before any system writes are enabled.

Prepare samples and a human baseline

Use synthetic or authorized anonymized samples covering normal layouts, missing dates, duplicates, unit changes and multiple pages. Keep manually reviewed expected fields and their evidence. Synthetic text tests field logic; actual PDF parsing and recognition need separate tests.

Define system actions

Agree how customer, item, quantity, unit and date map to existing fields. Route missing, unmatched and duplicate records to exceptions. Only perform agreed writes after review. Define the trial account, permitted objects and recovery procedure in advance.

Assess the business result

Record correct, incorrect, missing and review-required fields by sample type. Include existing processing time, review effort, exception work and failures. The business owner defines acceptance criteria; one overall accuracy number cannot describe every requirement.

Decide the next step

If master data or interfaces are not ready, improve those foundations or keep the trial read-only. Expand writes after validating scope, exceptions and recovery. This is a trial method, not a recognition benchmark or delivery guarantee.
